Relocation (for new employees from overseas)

Relocation allowances are provided at the time of hire by RIKEN depending on employee eligibility and status. Employees with contracts of less than one year, please see the RELOCATION ALLOWANCE (Fixed-term employees with contracts of less than one year) description provided in the last paragraph.

 

RELOCATION ALLOWANCE (Fixed-term employees with contracts of one year or more)
It consists of airfare, moving (relocation) costs, daily allowance, arrival allowance and miscellaneous expenses, and these are provided in accordance with RIKEN regulations.

 

AIRFARE

Required items for reimbursement of airfare:
  1. Itemized receipt (original, not a photocopy)
  2. Travel agency itinerary with name, date, and destination (original)
  3. Ticket stub (original)

Notes
:
  • A round-trip economy class discount ticket may be reimbursed if it is less than the one-way fare and the submitted estimates for both the one-way and round-trip tickets are under the same conditions (same airline and dates)
  • In case of traveling from the former work place to Japan via home or third country, please check in advance with the RIKEN laboratory if it’s possible for reimbursement.
  • Airport transportation fee will be provided in accordance with RIKEN regulations.

 

MOVING (RELOCATION) COSTS

Required items for reimbursement of relocation cost:
  1. Receipt (original)
  2. Estimate or invoice (original)
  3. Packing list (original)

Notes:
  • The relocation allowance will be paid during the period from one month prior to the new hire date to six months after that date.
  • It is possible to submit an "Application for Moving Fee" twice if necessary.
  • If you wish to receive your airfare first, please submit the application first only with the required documents for the airfare. Then please submit it again with the required documents for the relocation cost later. (At this time you also need to notify us that you have already submitted an application for the airfare.)
  • Reimbursement cannot be made for the following transport, shipping, moving and other related costs:
    1. Reimbursement cannot be made for the transport, packing or crating, unloading, and related costs for:
      • Automobiles
      • Pets or livestock
      • Pianos, organs, trees, garden plants, garden stones and any other item that requires extra costs for packaging and shipment
    2. Any costs that exceed the normal costs of the specified transportation route and method
    3. Costs of extra packing and moving services that are clearly unnecessary for the amount of household property being moved.
    4. Payment or gift money for the labor of friends or acquaintances if the employee undertakes the move by a private or leased vehicle

DAILY ALLOWANCE for Travelling day(s)
Daily allowance will be provided in accordance with RIKEN regulations.

 

ARRIVAL ALLOWANCE
For on-campus housing, 2 days daily allowance and 2 nights on-campus housing fee will be provided.
For other cases, please check with the RIKEN laboratory.

 

MISCELLANEOUS EXPENSES
Visa related costs for you and your accompanying dependent family will be provided. Receipt(s) must be submitted to RIKEN.

 

For accompanying dependent family, the following allowances will apply:
  • For spouse and children age 12 or older: Actual airfare plus two-thirds of daily and arrival allowances
  • For children under age 12: One-half of the total amounts stipulated above (actual airfare plus two thirds of daily and arrival allowances)
  • Window time for the accompanying dependent family to join you and have all relocation paperwork completed is within one year from the new hire date.

 

RELOCATION ALLOWANCE (Fixed-term employees with contracts of less than one year)

RIKEN will reimburse individual AIRFARE to and from RIKEN for beginning and ending employment, DAILY ALLOWANCE, and MISCELLANEOUS EXPENSES in accordance with RIKEN regulations. Relocation allowance for accompanying dependent family members will not be provided. Before purchasing your flight ticket, please check with your laboratory to confirm airfare coverage.
